Board agenda software: templates, papers and AI drafts
How Mithaq builds a board agenda: reusable templates, items that carry their own papers and actions, open actions carried forward, and an optional AI draft that fits the items into the time you have.
How do you prepare a board meeting agenda in Mithaq?
Start from a template (a regular meeting, an annual general meeting or an extraordinary meeting), or ask the AI assistant for a first draft from a short description of the meeting. Then attach each paper to the agenda item it belongs to. When the pack is issued, every paper appears behind its item, and every action or decision taken later hangs off the same item.
- A board reads by item, so the agenda is the index of everything
- Templates, so nobody types ten standing items again
- An AI first draft that respects the clock
A board reads by item, so the agenda is the index of everything
In many portals a paper belongs to a meeting. In Mithaq a paper, a minute entry and an action each belong to an agenda item. That changes the question the system can answer. Instead of "here is everything from the March meeting", the secretary gets "item 4: its three papers, its resolution and the two actions it produced".
Nothing falls out when an item changes. If an item is deleted, the papers attached to it are returned as unassigned papers of the meeting rather than dropped, so a paper cannot vanish from the pack because someone edited the agenda.
Templates, so nobody types ten standing items again
Each board keeps its own library of agenda templates, with titles and descriptions in Arabic and English. A new meeting can start from one of them, and a good agenda from a past meeting can be saved as a template. Templates belong to the board that made them. A new customer starts with an empty library, and it never inherits another organisation's agenda text.
An AI first draft that respects the clock
The chair or secretary can describe the meeting in a few lines, for example "first board meeting after the summer break, budget review and two contract approvals", and set a total duration. The assistant returns a structured agenda: each item has a title in English and Arabic, a type (standing, decision, discussion, update or administration), a time allocation, and a note on what it refers to.
It can take two more inputs. Open actions from earlier meetings are offered to it, so overdue work comes back to the table instead of being forgotten. Recent agenda titles are offered too, so it does not propose the same item twice. The draft is a suggestion. The secretary edits it before anything is saved, and the call counts against the board's AI allowance.
Where the text goes is a configuration choice, not a hidden default. The agenda assistant uses the same provider resolver as the rest of Mithaq's text AI, so a board can point it at a model on its own network, or switch AI off, in which case the button does nothing and no request is made.
